Learner Terms & Conditions

These terms describe the relationship between you as a learner and Achievers Training College (ATC) as the training provider and approved centre. They apply alongside the course information, enrolment confirmation, Fees Policy and relevant awarding organisation requirements. They are separate from the general Website Terms & Conditions.

Website draft — legal and operational review required.

This document is a substantial working draft for ATC. Confirm the bracketed or course-specific details and obtain appropriate legal and operational review before relying on or publishing it as an approved policy.

Purpose and scope

Purpose

Set the core agreement and shared expectations for enrolment, learning, assessment, certification, payment and conduct.

Scope

Each learner relationship with ATC, subject to the course confirmation, any employer arrangement and applicable Highfield or other awarding organisation rules.

Responsibilities

ATC

Provide the confirmed learning service, communicate material requirements, support fair assessment and explain significant decisions.

Learners

Engage with learning, meet agreed requirements, protect confidentiality, pay agreed fees and keep work authentic.

Highfield

Remain responsible for its own awarding, qualification, certification and quality requirements where they apply.

How the policy works

  1. Confirm the programme, entry requirements, delivery method, fees, milestones, assessment route and applicable platform at enrolment.

  2. Raise support, access, technical, payment or welfare barriers promptly so ATC can consider an appropriate route.

  3. Use the relevant assessment, academic integrity, complaints, appeals, adjustment and special consideration procedures.

  4. ATC will record decisions, give reasons where appropriate and explain any available review or escalation route.

Enrolment and the learning agreement

Your place is confirmed when ATC accepts your application and issues written enrolment or booking confirmation. You must provide accurate information, disclose support or access needs early, meet entry requirements and tell ATC promptly about changes that may affect learning. ATC may decline or pause enrolment where eligibility, safeguarding, capacity or awarding requirements are not met.

Duration and engagement

Your course duration, planned milestones, attendance expectations and completion date will be confirmed for the programme. You are expected to participate in scheduled sessions, access learning materials, complete activities, communicate with tutors and keep evidence moving. ATC may agree a deferral or revised plan where there is a reasonable basis and capacity to support it.

Assessment and deadlines

You must follow the Assessment Policy, assessment brief, tutor guidance and Highfield requirements where relevant. Work must be submitted by the agreed deadline, be your own, be authentic and meet the assessment criteria. Feedback, resubmission and appeals are managed under the applicable policies. Highfield, not ATC, sets or controls awarding organisation requirements where those apply.

Highfield Vault and third-party services

For the Level 3 Adult Care programme, ATC may direct you to Highfield Vault, a third-party digital learning platform/resource environment. It is not owned by ATC and is not used for every course. Access, availability and data processing may be subject to the provider’s applicable terms and privacy notice. ATC will tell you which approved platform applies to your programme.

Fees and payment plans

You must pay the fees, deposits and instalments stated in your enrolment confirmation or invoice. A payment plan does not remove the total balance due. Missed payments may lead to contact, restricted access, paused assessment or termination after a fair opportunity to resolve the balance. The Fees, Cancellation & Refund Policy explains cancellations, withdrawals, refunds, transfers, deferrals and outstanding balances.

Withdrawal, cancellation and refunds

You may ask to cancel or withdraw by contacting ATC in writing. The consequences depend on when you cancel, the delivery already provided, any statutory rights, the course contract and third-party costs. ATC will assess any refund or balance under the Fees Policy and will explain the outcome. Do not assume non-attendance cancels an enrolment.

Certification and records

ATC will submit eligible achievement information to Highfield or another relevant awarding organisation when requirements are met. Certificates remain subject to awarding organisation decisions, identity checks, quality assurance and accurate records. You must keep contact details current and cooperate with reasonable verification requests.

Academic integrity, conduct and communication

You must comply with the Academic Integrity & AI Policy, Learner Code of Conduct, safeguarding arrangements, health and safety instructions and reasonable tutor requests. ATC may use email, telephone or an approved learning platform for important notices. You are responsible for checking those channels and responding within the timescale given.

Termination and questions

ATC may suspend or terminate enrolment for serious misconduct, unsafe behaviour, academic malpractice, non-payment, persistent non-engagement, safeguarding risk or failure to meet entry or awarding requirements. ATC will normally explain the decision and any route to complain or appeal, unless immediate action is required to protect people or evidence.
